- Select the incorrectly classified message, click the Report[1] button and then select the Report phishing or Report junk button.
Junk Mail
If you receive a message in your Inbox that you believe is spam or a phishing attempt, you can report it. Reporting it will trigger a re-analysis and notify the administrators.
Reporting Unidentified Junk Mail
- Windows / Web (new interface)
- Windows (old interface)
- Select the incorrectly flagged message and click the red shield icon[1].
- Select the Report Phishing button or the Report Junk button.
- Android / iOS
Reporting Incorrectly Flagged Spam
If a message is delivered to your Junk folder that has been incorrectly flagged and is not actually spam, you can also report it. Reporting it will trigger a reanalysis and notify the administrators.
Blocking or Unblocking a Sender
Users can manage messages and senders and, at their discretion, can:
- Block a sender – this blocks a specific sender; subsequent e-mails will be automatically delivered to the Junk folder
- Never block the sender – in the future, no e-mails from this sender or this domain will be delivered to the Junk Mail folder
Outgoing Mail Limits
To prevent spam, limits are set on the number of outgoing messages:
| Role | Maximum per hour | Maximum per day |
|---|---|---|
| Employee | 1,000 | 5,000 |
| Partner | 100 | 1,000 |
| Student | 100 | 1,000 |
| Inactive Account | 20 | 100 |
How to Report an Issue
- Junk Mail
If a user in the MS365 environment reports undetected spam in their inbox (or if an administrator identifies it through their own observation), the following steps will be taken:
- Verify whether the e-mail is demonstrably spam
- If it is verifiably spam, the e-mail will be reported to MS365, thereby reducing future misclassifications
- In cases of serious concern, the specific e-mail will be moved to the Spam folder for all affected users within MS365
- Phishing
If a user in the MS365 environment reports an undetected phishing attempt in their inbox (or if an administrator identifies it through their own observation), the following steps will be taken:
- Verify whether it is demonstrably a phishing attempt
- If it is verifiably phishing, this e-mail will be reported to MS365, thereby reducing future misclassifications
- Determine the number of affected accounts
- Block the phishing link within MS365
- Move the specific e-mail to the junk mail folder (for all affected accounts in EXO)
- Report the phishing link to web services (CESNET, ESET, Google, etc.)
- Reporting the phishing link to the hosting provider where the phishing page is located (if possible)
- Blocking the sender’s address for a period of 7 days
- Reporting the security incident to the cybersecurity manager
- If the Report button is not available in Outlook, report messages using the CTU Mail web application. ↩
